Description
To provide comprehensive personal assistant and administrative support to the team, facilitating efficient operations and communication.
Responsibilities:
• Diary Management: Organise and manage calendars to ensure optimal scheduling of meetings and appointments.
• Meeting Coordination: Arrange and attend meetings, ensuring all necessary materials are prepared in advance, including agendas and minutes were applicable.
• Document Preparation: Create, format, and edit reports and presentations primarily in Word and PowerPoint.
• Email Management: Oversee and manage incoming emails, ensuring timely responses and appropriate follow-ups.
• Travel Arrangements: Coordinate travel logistics for the team.
• Project Coordination: Assist in the organisation and management of various projects, ensuring deadlines are met.
• Stationery and Supplies Management: Source and order office supplies as needed.
• Ad-Hoc Responsibilities: Handle various administrative tasks as required within the division.
Education, Experience and Skills required
• Strong attention to detail and proactive approach.
• Flexibility and ability to multitask in a fast-paced environment.
• High levels of confidentiality and discretion.
• Proficient in Microsoft Word, PowerPoint, and Outlook; basic knowledge of Excel is advantageous.
• Excellent typing skills with strong written and verbal communication abilities.
• Ability to prioritise tasks, resolve issues, and interact confidently at a senior level.
• Relevant experience as a personal assistant supporting senior leaders and teams.
• Relevant qualification in administration or a related field.
