Role Description
The primary function of this role is to provide administrative and organisational support to leadership within Private Bank Central Operations to ensure seamless daily operations. The ideal candidate will be responsible for diary management (including travel arrangements), equipment and stationery coordination, minute-taking, and organising social engagements. This role requires diligence, discretion, and the ability to work in a fast-paced environment.
Responsibilities include:
- Manage diaries, scheduling appointments, meetings, and travel arrangements.
- Ensure timely preparation of meeting materials, presentations, and reports.
- Maintain confidential records and handle sensitive information with discretion.
- Organise and coordinate meetings, boardroom bookings, and virtual calls.
- Prepare and distribute agendas, presentations, and necessary documents.
- Accurately record minutes, track action points, and follow up as needed.
- Manage and order stationery, office supplies, and equipment to ensure smooth operations.
- Liaise with IT and facilities teams for office maintenance and technology support.
- Plan and coordinate team-building events, corporate functions, and social gatherings.
Requirements
- Experience as a personal assistant, or similar role.
- Strong administrative and organisational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional communication skills – verbal and written.
- Ability to prioritise tasks, work under pressure, and meet deadlines.
- High level of discretion and professionalism in handling confidential matters.
- Strong problem-solving skills and a proactive attitude.
- Ability to build relationships and liaise with all stakeholders.
